Shopify vPlan Integration, Without the Copy-Paste

A Shopify vPlan integration has no native app in our research. Zapier lists Shopify among vPlan's integrations, Make carries a vendor-maintained vPlan app, and Alumio's connector is either available or on request. vPlan also offers an open API and custom connections on request. We confirm the route, build, test and hand over, from $390.

  • Route confirmed with vPlan
  • Orders turned into planned jobs or tasks
  • Status written back to Shopify
  • Test log and a recorded handover

Who this is for

Six Situations Where Shopify vPlan Integration Pays Off

Teams planning work in vPlan want store orders to arrive as jobs. These are the cases we build for.

You are a good fit if
  • You sell on Shopify today or soon
  • You will own the vPlan account
  • You prefer a quote to an hourly meter
  • You can approve a test within a few days
  • Teams planning jobs in vPlan

A paid order becomes a task.

  • Teams assigning staff

Jobs go to the right person.

  • Teams updating buyers

    Status can return to Shopify.

  • Teams with developers

    vPlan has an open API.

  • Teams on Make or Zapier

    Both list vPlan with Shopify.

  • Teams reading Alumio

    Availability is stated two ways.

Problems solved

Shopify vPlan Integration: Six Faults We Fix First

Planning syncs fail on mapping and routes. These are the six faults we fix.

The problem

Route guessed

The outcome

Nothing syncs. We confirm with vPlan.

The problem

Duplicate jobs

The outcome

Retries repeat. We check first.

The problem

No assignee

The outcome

Jobs sit idle. We assign by rule.

The problem

Order data missing

The outcome

Jobs lack detail. We map fields.

The problem

Status late

The outcome

Buyers wait. We test timing.

The problem

No handover

The outcome

Setup is unwritten, so the next change starts from guesswork. We write down the triggers, fields and tests.

Process and timeline

From First Call to Live Sync: Our Shopify vPlan Integration Process

A fixed order of work keeps the project predictable. You know what happens next at every point.

  1. 1

    Brief and scope

First we find out what you sell, how your team uses vPlan and which events count. A quick look at your orders and tasks tells us where to begin and what to avoid.

  2. 2

    Access and connection

You grant limited access to Shopify and vPlan through an OAuth sign-in with access to one workspace. Before building, we read live data to prove both connections.

  3. 3

    Map and rule

Order number, due date, assignee and notes are matched across both tools, and we record who wins each conflict and how blanks are treated.

  4. 4

    Build in a copy

We build against test data, not your live records, and show you the plan and a recorded run where it helps.

  5. 5

    Test on real cases

We test a custom order, a refund request and a rush shipment, plus refunds and edits, then compare the results with what Shopify shows.

  6. 6

    Go live and hand over

Once you approve, we switch the flow on, watch the first runs and hand over notes, a diagram and a short recorded tour.

Six Safeguards Built Into Every vPlan Integration

None of these costs extra. They are simply how we work.

Narrow access, in your name

We request only the permissions the flow needs, via an OAuth sign-in with access to one workspace, and you own every account.

Secrets kept in a vault

A secure vault holds every key and token; none appear in notes or chat.

Plain scope, two revision rounds

Price first, then two structured revision rounds for anything in scope, so no tweak becomes a surprise charge.

Build in a copy, never live

Everything is built and tested on test data, so your live orders and tasks stay untouched until you approve.

Failures raise a flag

When a run fails, a named person is told which order and why. Silence is never taken as success.

A written definition of done

A flow is finished when it handles a custom order, a refund request and a rush shipment correctly and the results are logged.

Each package covers more of vPlan. Every option below shows its own price and any extra days, so nothing is revealed after checkout.

vPlan connected and one flow built: create a task with the order details, with fields mapped and the result tested.

  • Secure vPlan connection via an OAuth sign-in with access to one workspace
  • A trigger for when an order needs custom work
  • Mapping for order number, due date and assignee
  • A unique key on every write
  • Test on a custom order and a refund request
  • Test log plus a recorded walkthrough

Three flows running: vPlan will create a task with the order details; move the card to the next column; and open a review task for the right person, plus filters, retries and alerts.

  • Everything in Single Workflow
  • Triggers for when an order needs custom work, when an order is fulfilled and when a refund is requested
  • Notes and custom fields added to the map
  • Filtering on tags, countries and totals
  • Retries, plus an alert when a run fails
  • Checks on a custom order, a refund request and a rush shipment

The full build: two-way sync, history, monitoring for two weeks and a runbook.

  • Everything in Core Workflows
  • Two-way sync, each field with its own rule
  • Past tasks loaded in one pass
  • Fourteen days of monitoring after launch
  • Access and roles review
  • Team runbook in plain English

Projects beyond these packages, such as bespoke objects, heavy history loads, multi-store designs or a custom API build, are scoped and quoted at a fixed price after a short call.

What is your monthly order volume?Required

More orders means more queuing, throttling and testing.

In which direction should the data travel?Required

Syncing both ways means a conflict rule for each shared field.

Is your vPlan account empty or full of data?Required

We match what exists before anything new is written.

How soon do you need it live?Required

Standard follows the schedule your other choices set. Pay to move up the queue and go live sooner.

Optional extrasOptional

Each one begins switched off. Turn on what you need, watch the total, switch it back off.

Why Store Design Expert

What You Get From Us That a Template Does Not

Templates cover the happy path. We cover the rest, and we put the result in writing.

A direct line to the builder

You talk to the person working on your flow, and questions about a trigger or field get a plain answer.

Experience since 2015

Over 450 Shopify stores since 2015 mean we have seen most of the odd cases that break integrations.

We live inside Shopify

Orders, refunds, edits and metafields are daily work for us. That is a different skill from knowing the menus of vPlan.

A price you can plan around

The calculator shows the price and extra days for every package and option. vPlan bills its own plan fees, so check its current pricing page.

Tested on your real cases

We test the cases your store actually has, such as a custom order, a refund request and a rush shipment.

Safety designed in

Retries, alerts, unique keys and limited access come as standard in every build.

What we need to get started

What to Prepare Before We Start Your vPlan Integration

Three things get the work moving: safe access, a few answers and a decision-maker. Here is the detail.

Approve a collaborator request

Selling already? Send the address and accept a collaborator request. You keep ownership, we get a limited role, and you can revoke it at any moment.

Starting from nothing? We build first

No store yet? We build it in our Partner account, connect vPlan there and transfer the whole store to you, so you choose a plan only at the end.

Or share a staff login

A staff login works if that is easier. We still recommend the collaborator route, since it can be revoked in one click and leaves no password in circulation.

Your vPlan access

Create the account yourself and invite us, or ask us to create it with your email. Either way you hold the owner role, and we use an OAuth sign-in with access to one workspace.

Sample records

Send two or three typical records from each side, or tell us where to find them. Real examples show us how your data is actually shaped.

A decision-maker

Who signs off the plan and the test? And when vPlan and Shopify disagree, which one is right? Those two answers are all we need.

We never need your owner password or payment details. Access is limited, logged and removable at any time.

FAQ

Shopify vPlan Integration FAQs

Everything owners ask us before booking.

How much does Shopify vPlan integration cost?

Single Workflow costs $390, Core Workflows $790 and Full Integration $1490. Order volume, data direction, existing vPlan data and add-ons change the total, and the calculator shows it before you pay. Most projects land between about $390 and $2090, with delivery from 3 to 14 working days.

How long does the vPlan integration take?

Single Workflow takes 3 to 5 working days, Core Workflows 5 to 9 and Full Integration 8 to 14. The usual variables are how much history you want loaded and how quickly you approve the test results. The Sooner and Fastest options shorten the schedule when a launch date is fixed.
