The basics

Four Things Every Job Needs

Whatever the service, these four items are the same.

Every order needs access to the store, a brief that says what you want, any files that belong to you, and one person who can approve the work. If these are ready when you order, work starts without a pause.

Access is always by collaborator request. We never ask for your owner password, and you can remove us at any time from your Shopify admin. Files can be shared by a folder link, and your brief is a short form with questions matched to the service.

The lists below break the requirements down by type of job. Open the one that matches your order.

  • Approve the collaborator request promptly
  • Answer the brief in full
  • Send files in one folder
  • Name one approver

In depth

How to Write a Brief That Gets the Right Result First Time

A good brief is short, specific and honest. It saves a revision round before you have used one.

The brief is a short form with questions matched to your service. These tips help you answer it well.

Describe the goal, not just the task

Instead of only writing make the button bigger, add why: customers on phones are missing it. A goal lets us suggest a better fix than the one you first imagined.

Say where it goes

Name the page, the section and the device. Add the address of the page and a screenshot with the area circled.

Show what you like

Links to pages you admire, with a note on what you like about them, are the fastest way to communicate taste. Say what you dislike as well.

List must-haves and must-nots

Mention brand rules, words you must use or avoid, colors you cannot change and anything legal or regulatory that applies.

Be honest about the starting point

Tell us about apps you use, earlier edits to the theme and anything that went wrong before. It saves hours of diagnosis.

If you are unsure how to answer a question, say so. We would rather clarify than guess.

Access

How to Give Collaborator Access Safely

Collaborator access lets us work in your store without your password.

  1. Open your Shopify admin and go to the settings area for users or staff.
  2. Find the collaborator or staff section and choose the option to send a collaborator request or invite.
  3. Enter the details we give you for our collaborator account.
  4. Choose the permissions the job needs. If you are unsure, we will tell you which areas the scope requires.
  5. Send the request. We accept it and confirm what we can see.
  6. When the work is done, you can remove access in the same area.

Menus and labels in Shopify change over time, so follow the current names in your admin. If you get stuck, send us a screenshot and we will walk you through it.

Files

Six Kinds of Files That Often Delay a Job

Having these ready avoids pauses.

Logo files

A high-resolution logo, ideally with a transparent background and a vector version if you have one.

Brand colors and fonts

The exact color codes and font names, or a brand guide.

Product photos

The best-quality originals, not copies saved from a website.

Written copy

Text you want used, with any wording that must not change.

Product data

A spreadsheet with titles, prices, variants and SKUs.

Examples

Links or screenshots of pages and stores you like.

FAQ

Requirement Questions Answered

Access, files and approvals. Open any question for the full answer.

What do you need to start my Shopify job?

Collaborator access, a completed brief, any files that belong to you and one person who can approve the work.

Do you need my Shopify password?

No. A collaborator request is enough, and you can remove access at any time.

What if I do not have a logo or photos?

Content and creative services can make or prepare them. Tell us in the brief and we will scope it.

Can I send files by link?

Yes. A shared folder link is the simplest route.

Who should approve the work?

One person with authority to decide. It keeps feedback in one batch and revisions inside the two included rounds.

What happens if I am slow to answer?

Work pauses at the step that needs your input, and the estimate resumes when it arrives.

Do you need access to my apps?

Only when the job involves them, such as app set-up. We ask for the least access that does the job.

Can I add files later?

Yes, but late additions can change the scope. Tell your project lead and we will say whether they fit.

How long does the brief take to fill in?

Usually a few minutes. The form is matched to your service and asks only what the job needs.

What if I do not know the answer to a question?

Say so, and tell us what you do know. We will clarify in writing before the scope is confirmed.

Do I need to be available during the build?

You need to respond to questions and review the result. Between those moments, you do not need to do anything.

Can someone else handle this for me?

Yes. Name the person who will answer the brief and approve the work, and make sure they have access to the store.

What if my files are low quality?

Tell us. Image editing and design services can improve what you have, and we say plainly what can and cannot be fixed.

How do I know access was approved?

We confirm in writing when we accept the collaborator request and what we can see.
